Most outbound fails for one of two reasons: the emails never reach the inbox, or they reach it and read like a blast. Fix both and outbound becomes the most reliable pipeline source you have.
Deliverability comes first
Before you write a single line of copy, protect your ability to land in the inbox:
- Use dedicated sending domains so your primary domain stays clean.
- Authenticate properly (SPF, DKIM, DMARC) and warm up new inboxes gradually.
- Cap daily volume per inbox. Volume games are how you end up in spam.
No amount of clever copy survives a burned domain. Treat deliverability as the foundation, not an afterthought.
Relevance beats reach
A tightly targeted list of 200 right-fit accounts will out-perform 5,000 random ones every time. Define your ICP precisely, segment by role and trigger, and personalize around each segment’s specific pain. The goal is an email that reads like a one-to-one note — because, functionally, it is.
Optimize for meetings, not opens
Open rates are vanity (and increasingly unmeasurable). Reply rate and booked meetings are the only metrics that matter. Test subject lines, angles, and offers continuously, and route warm replies straight to a human who can qualify and book.
Done right, outbound isn’t spam — it’s a precise, repeatable way to start conversations with the exact people who should know you exist.
